Document Preparer: The individual responsible for preparing documents that require signatures. These documents are often created in digital formats such as PDFs.
Prepare Documents for Signature: The document preparer ensures all necessary details and contents are included in the document, preparing it for review and signature.
Signer Section 9: A designated section (Section 9) where documents are sent for signing. This section is responsible for verifying the document's content and authenticity before it is signed.
Approver: Once signed, the document is sent to the approver. The approver's role is to give the final consent, ensuring that the document meets all required standards and regulations.
Stored by Department: After approval, the document is officially stored by the respective department.
DMS (Document Management System)
Document Storage: Documents are stored under their respective departments in the DMS, including XLS, PDF, DOC files, etc.
Access by General Staff: General staff can store documents and access the DMS to search for documents by keyword, content, file name, or creator.
General User: General users can search for and access necessary documents according to their assigned permissions.
